15 Gmail Tips and Tricks That Save You Hours Every Week

Work faster in Gmail with these practical tips, from undo send, templates and filters to search operators and keyboard shortcuts.

Most people use only a fraction of what Gmail can do. These 15 tips take a few minutes to set up and can save you hours every week, whether you're a student, a virtual assistant or managing a busy business inbox.

Settings worth turning on

1. Give yourself time to undo a send

Sent an email too quickly? Go to Settings (gear icon) → See all settings → General → Undo Send and set the cancellation period to 30 seconds. You'll get a longer window to click "Undo" after sending.

2. Turn on keyboard shortcuts

In Settings → See all settings → General, switch Keyboard shortcuts on, then save. Now you can fly through your inbox:

3. Create a professional signature

In Settings → General → Signature, add your name, role, phone number and website. Every email you send instantly looks more professional.

4. Use templates for emails you send often

Go to Settings → Advanced → Templates and enable them. Then write a reply, click the three dots at the bottom of the draft and choose Templates → Save draft as template. Next time, insert it in two clicks. Perfect for client onboarding messages, invoices and FAQs.

Keep your inbox under control

5. Organise with labels

Labels work like folders, but one email can have several. Create labels for clients, projects or tasks ("To pay", "Waiting for reply") and colour-code them.

6. Let filters do the sorting

Filters apply labels, archive, star or forward emails automatically. Click the search options icon in the search bar, enter the conditions (for example, emails from a certain sender), click Create filter, and choose what should happen.

Tip

Create a filter for newsletters and notifications that skips the inbox and applies a "Read later" label. Your inbox instantly becomes calmer.

7. Snooze emails until you need them

Hover over an email and click the clock icon to snooze it. It disappears and comes back to the top of your inbox at the time you choose.

8. Mute noisy conversations

In a long group thread you don't need to follow? Open it and press m (with shortcuts on), or choose Mute from the three-dot menu. New replies will skip your inbox.

9. Try a different inbox type

Under Settings → Inbox, you can choose layouts like Important first or Priority Inbox so the emails that matter most appear at the top.

Find anything in seconds

10. Master search operators

Type these straight into the Gmail search box:

  • from:name@example.com finds emails from a sender
  • has:attachment finds emails with attachments
  • filename:pdf finds a specific file type
  • larger:10M finds large emails (great for freeing up storage)
  • older_than:1y finds emails older than a year
  • is:unread shows only unread emails

You can combine them, for example from:client@example.com has:attachment.

Work smarter, not harder

11. Schedule emails to send later

Click the arrow next to Send and choose Schedule send. Write at midnight, deliver at 9am.

12. Use the side panel

The icons on the right side of Gmail open Google Calendar, Keep, Tasks and Contacts without leaving your inbox. Drag an email into Tasks to turn it into a to-do.

13. Set an out-of-office reply

Going on leave? Turn on the Vacation responder at the bottom of Settings → General, set the dates and your message.

14. Send sensitive emails in confidential mode

When composing, click the lock-and-clock icon to turn on confidential mode. You can set an expiry date and stop recipients from forwarding, copying, printing or downloading the email.

15. Remember that dots don't matter

In personal Gmail addresses, Gmail ignores dots: yourname@gmail.com and your.name@gmail.com go to the same inbox. Handy to know when someone says they "can't find" your email.
